Forging a convincing invoice used to take effort. Now it takes a prompt. Generative AI can produce a clean PDF, a plausible vendor letterhead, and a polite follow-up email in minutes — which is why fraudsters have moved from obvious scams to documents that look exactly like the ones you already pay.

The Canada Revenue Agency has published guidance warning that scams created with generative AI still carry tells: typos, fuzzy or distorted logos, poor translation and formatting differences ([CRA, March 2026](https://www.canada.ca/en/revenue-agency/news/newsroom/tax-tips/tax-tips-2026/what-you-need-to-know-ai-generated-tax-scams.html)). The problem is that a busy owner approving 30 invoices on a Friday afternoon is not reading for tells. The Identity Theft Resource Center reports that roughly four in five small businesses experienced a cyber scam in 2025 — for most, the exposure is not a hacked server but a payment made to the wrong account.

## Why Invoices Are the Favourite Target

Money moves on trust and speed. An invoice arrives from a supplier you know, for an amount that looks about right, with a payment deadline. Nobody wants to delay a supplier over a routine bill. That combination — familiar, plausible, urgent — is exactly what fraud relies on, and AI makes it cheap to produce at scale.

## Five Checks Before You Pay

1. **Call the number you already have.** Not the number on the invoice. If a supplier's bank details change, confirm by phone using a contact from your own records.
2. **Treat "new bank details" as a stop sign.** This is the most common pattern in payment fraud. A change of account should always require a second person and a callback.
3. **Check the sending domain, not the display name.** A message from "accounts@supplier.com" and "accounts@supp1ier.com" look identical in a preview pane.
4. **Require two approvals above a threshold.** Pick a number — $2,000, $5,000 — that fits your business. One person can make a mistake; two people rarely make the same one.
5. **Keep a supplier list with known bank details.** Anything that does not match your list gets held, not paid.

### Quick Test: Could a Fake Invoice Get Through?

- Does anyone other than the person who approves payments see the invoice first?
- Do you have a written rule for bank-detail changes?
- Could you tell a real supplier email from a lookalike domain today?

Two "no" answers means your process, not your software, is the gap.

## Where AI Helps — and Where It Doesn't

Accounting platforms increasingly flag duplicate invoices and unusual payment patterns, and that is genuinely useful. But detection tools sit behind your process. If one person can approve and pay without a second look, no alert will save you.

The durable fix is boring: a written payment rule, a callback habit, dual approval over a threshold, and a team that has been told once what to watch for. That is governance at small-business scale — a page of rules and a habit, not a compliance department.

This is the work DAOVA does with BC small and mid-sized businesses: practical [AI governance](https://go.daova.ai/blog), secure deployment, and team training. Eligible AI training for BC employers can be reimbursed up to 80% through the [B.C. Employer Training Grant](https://www.workbc.ca/employers-industry/funding-programs/bc-employer-training-grant) (up to $10,000 per participant).

## The Bottom Line

AI did not invent invoice fraud. It removed the effort, which means the volume will keep rising and the quality will keep improving. You will not win by spotting better fakes. You win by making one bad payment hard to complete.

**Your action this week:** write the threshold above which two people must approve a payment, and add one line: "any change of bank details requires a callback to a number we already have."
